Introduction

This checklist will help you to arrange the perfect birthday party!

General Audience

This checklist is designed for people who are in the process of arranging a birthday party.

3 to 4 Weeks Before

  1. Create a guest list
  2. Childproof party area
  3. Gather games or activities
  4. Set out party favors
  5. Buy undelivered floral arrangements
  6. Prepare food that refrigerates well overnight
  7. Arrange food delivery
  8. Eat out or order in
  9. Defrost cake before bed

One week before the party


  1. Brief your helpers on the kid party games and event
  2. Start making decorations, favors, etc.
  3. Prepare music/ CD player for the party
  4. Check your camera or video camera if it is working and ensure that there are enough battery
  5. Get ready the costume that your family going to wear at the party



Things to arrange before the party

  1. Pick a theme
  2. Find a location
  3. Pick the date
  4. Choose a time
  5. Create a guest list
  6. Make/buy invitations
  7. Find helpers
  8. Buy prizes and favors
  9. Make/buy decorations
  10. Create a menu
  11. Plan games

Party Day

  1. Pick up ordered cake, ice, balloons
  2. Frost & decorate homemade cake
  3. Decorate indoor and outdoor party areas
  4. Set up party games
  5. Gather serving pieces
  6. Have camera ready
  7. Prepare perishable food
  8. Check bathroom for needed supplies (toilet paper, hand towels, soap)
  9. Secure pets as needed
  10. Smile and have fun!

Tips

  1. At least 5 weeks before the birthday, select your location for the party. If the birthday is on a weekday and you think people may not turn up, plan it on the weekend right after the birthday. Book your venue in advance in order to avoid any last minute rush.
  2. Sit down with your child and decide whom all you want to invite. #Ask the kid his/her expectations and then decide the budget. It is not that kids will always demand ponies and clowns. You will be pleasantly surprised when your kid says that he wants a party at the local restaurant with close friends.
  3. Next decide your budget. Calculate an approximate figure that will be the expenditure for the entire party. This includes food, games, amusement, favors, decorations and invitations.
  4. Appoint 2-3 responsible adults to take care of certain duties like organizing games, themes and decorations. You can stick to sending out invitations, shopping and deciding the menu. Do not attempt at doing everything by yourself.
  5. Check your camera for sufficient rolls or buy disposable cameras. #Place the order for the cake at least a week before the birthday. Arrange for plates, glasses, spoons and other items that might be required in the party.
  6. Do not keep things for last moment. Arrange everything beforehand so that you too can enjoy the party without any tensions.
